Set Up Your Workspace to Work!

I have a theory.

Your work space is either set up in such a way as to invite you in and support you in what you are doing, or it is somewhere else on the spectrum up to and including compelling you to run screaming from the building!

It has been documented that many of us will spend at least one hour a day looking for things.

If you set up your office (or wherever you work) to work FOR you (rather than AGAINST you), you can eliminate most of that time.

Productivity Habits: Debrief the Day

Debrief your day.

Take a few minutes at the end of each day to review what you worked on, what got accomplished, what still needs to be done.

Make a note in the appropriate places about calls to make, messages to return, and other action items requiring your attention.

This will allow you to leave the office behind when you leave the office for the day, without worrying about the proverbial other shoe dropping in your absence. It doesn’t have to take a long time, but it will save loads of time if you do it.

Schedule Preparation Time

Schedule time to prepare for meetings and conferences

Have you ever looked at your calendar and discovered you had a meeting scheduled and you just weren’t ready for it? What happened?

Most likely, you knew you had work to do to get ready for the meeting, but you didn’t set aside the time to do that work. Probably you didn’t even look when you were scheduling the meeting itself to make sure you actually had time available to do any preparation required.

Managing Interruptions - Phone and Email

By default, we are getting interrupted at least once every 6-8 minutes all day long.

And, it takes 10-15 minutes to bring your focus back to what you were doing when you were interrupted.

That math just doesn’t work. Think about it.

You will be interrupted, and you will most likely keep getting interrupted before you can get back to what you were doing (if you even remember what it was).

Do you really need to see that pop-up every time you get an incoming email? Do you really need to hear that beep every time something lands in your inbox?

Make a "Could Do" List

Get out a piece of paper and write “Could Do” at the top.

I like “could-do” lists because I find “to-do” lists too dictatorial.

They make me feel pressured and antsy and reluctant and even belligerent — like a pouting high schooler who’s being harassed to do her homework.

But the words “could do” put me in a place of choice.

I could do the laundry, or I could walk around in dirty, smelly clothes.

I have a choice.

Reduce the Scope of Your Project

How Coffee Shops Have Changed the Way I Work From Home
